
Church Administrative Assistant
Rehobeth United Methodist Church is seeking a dependable, organized, and compassionate individual to serve as our Church Administrative Assistant. This person will be the welcoming face of the church and play a vital role in supporting the daily ministry and operations of the church office.
Position Overview
The ideal candidate is someone who enjoys serving others, communicates professionally, maintains confidentiality, and thrives in a faith-based environment. This position supports the Pastor, church staff, committees, and congregation through administrative organization, communication, record keeping, and bookkeeping assistance.
Reports To
Lead Pastor, in coordination with the Staff-Parish Relations Committee (SPRC).

Primary Responsibilities
Office & Communication Support
-
Serve as the first point of contact for the church through in-person, phone, and email communication
-
Answer and direct phone calls in a timely and professional manner
-
Maintain voicemail and communication systems
-
Communicate with church staff, members, committees, and community groups as needed
-
Knowledge of MS Office Suite, Google Workspace, and Publisher
Calendar & Event Coordination
-
Maintain the master church calendar and facility use schedule
-
Coordinate communication related to church events and building use
-
Serve as liaison between church leadership, congregants, committees, and outside groups
Worship & Ministry Support
-
Prepare weekly bulletins, inserts, and special publications
-
Assist with funeral bulletins and other worship materials as directed by the Pastor
-
Track worship attendance records
-
Maintain historical bulletin and worship records
Administrative & Record Keeping
-
Maintain church membership records and directories
-
Record baptisms, marriages, confirmations, births, deaths, and transfers
-
Maintain yearly church reports and Charge Conference materials
-
Keep office files and procedural manuals organized and up to date
Financial & Office Support
-
Assist with bookkeeping responsibilities as assigned
-
Support the Financial Secretary and Treasurer with accurate record keeping and reporting

Order and maintain office and worship supplies
-
Manage church keys and maintain key records
-
Pick up and distribute church mail and maintain postage supplies
Congregational Care & Assistance

Assist with Helping Hands documentation and record keeping
-
Record memorials and honorariums and coordinate acknowledgements
-
Support volunteers and new staff with office procedures and equipment usage
Additional Duties

Maintain a clean, organized, and professional office environment

Other duties as assigned to support the ministry and mission of the church
